How We Source

Four steps, no guesswork.

Every venue engagement follows the same disciplined process. You see the venues we recommend, the reasoning, and the full cost side by side.

Brief & Criteria

A 45-minute session to agree headcount, date, budget band, style, location constraints and any non-negotiables.

Research & Holds

We pull five to seven candidates from our database and place courtesy holds on the strongest two or three.

Site Visits

You walk the shortlisted venues with your producer. We photograph and document each option with a written summary.

Contract & Terms

We negotiate rates, F&B minimums, cancellation terms and load-in windows before you sign anything.

What We Handle

The venue is the easy part. The terms are not.

Most of the risk in a venue booking sits inside the contract — cancellation windows, F&B minimums, load-in restrictions and hidden fees. Our job is to make sure you see all of it before you sign.

Rate and minimum negotiationWe negotiate venue rental, F&B minimums and AV exclusivity terms against comparable bookings in the same market.

Full contract reviewCancellation windows, force majeure, insurance requirements, load-in restrictions and overtime fees, all flagged in writing.

Site visit documentationFor each shortlisted venue you receive photos, floor plan notes, capacity breakdowns and a written comparison.

Venue sourcing is included in every full-service engagement. If you are booking venue sourcing as a standalone service, we quote a flat sourcing fee that is credited back if you proceed with a full event contract.

Yes. If you have one or two target venues, we will evaluate them against your brief, place holds and negotiate terms, while still showing you two to three comparables so you can decide with context.

Typically five to seven candidates, with two or three taken forward to site visits. That keeps the process efficient without forcing a choice from a single option.

Many venues do. We review the in-house menu, negotiate per-head pricing and confirm dietary handling before you commit. Where external catering is allowed, we manage the vendor selection and coordination.
